Leadpool Platform Privacy Policy
DRAFT for attorney review. This document describes actual platform behavior; have counsel review before treating it as final.

1. Who we are
Leadpool is lead-distribution software operated by Lead Pool LLC ("Leadpool," "we," "us"). This policy covers the Leadpool platform: our marketing website, demo, request forms, and the Leadpool application used by our business customers ("agencies") and their team members.
This policy does NOT cover the consumer quote-request websites and advertising run by our customers (or by Lead Pool LLC's own consumer-facing brands). Those experiences carry their own privacy policies, presented where the consumer submits their information.
2. Information we collect
From visitors to our website:
- Contact details you submit when you book a demo or request access: name, email,
company, phone, industry, team size, preferred demo time, and anything you write in the message field.
- Demo access details you submit to view our product tour, and a record of your
acceptance of our access terms.
- Technical data collected automatically: IP address, browser and device information,
and analytics events about how the site is used.
From platform users (agencies and their team members):
- Account details: name, email, phone, password credentials (stored by our
authentication provider, never in plain text), and two-factor authentication enrollment status.
- Business details your agency provides: company name, billing information, and
configuration of your workspace.
- Usage and audit records: actions taken in the platform (for example lead claims,
exports, and settings changes), timestamps, and IP addresses, kept for security and compliance.
Lead data processed on behalf of agencies:
- Agencies route consumer lead information (such as name, phone, email, and consent
records) through the platform. For that data we act as a service provider/processor for the agency; the agency is responsible for the notices and consent presented to the consumer where the lead was collected.
3. How we use information
- Provide, operate, secure, and support the platform.
- Respond to demo bookings and access requests.
- Process subscription billing through our payment processor.
- Enforce our terms, prevent abuse, and maintain audit and compliance records
(including consent and do-not-contact records).
- Improve the product using aggregate, de-identified usage information.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
4. Who we share it with
Service providers who run parts of the platform under contract, including: cloud hosting and database infrastructure, authentication, payment processing, telephony and messaging carriers, ad-platform integrations an agency connects (for example Meta lead forms), and email delivery. We share only what each provider needs to do its job.
We may also disclose information when required by law, to protect the platform and its users, or as part of a corporate transaction, with notice where required.
5. Retention
We keep account and audit records while an account is active and as long as needed for the legal, accounting, and compliance purposes they serve (consent and do-not-contact records in particular are retained because they exist to prove compliance). Lead data processed for an agency is retained according to that agency's configuration and instructions.
6. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information. To exercise them, or to ask any privacy question, contact us at the address below. If you are a consumer whose information was collected by one of our customers, we will route your request to that agency, which is responsible for it.
You can opt out of marketing email using the unsubscribe link in any message.
7. Security
We use industry-standard safeguards: encryption in transit, hashed credentials, role-based access with tenant isolation, two-factor authentication for privileged accounts, and audit logging. No system is perfectly secure; we work to protect your information and to respond quickly if something goes wrong.
8. Children
The platform is a business tool and is not directed to anyone under 18.
9. Changes
We will post changes to this policy here with a new effective date, and for material changes we will notify platform account holders.
